Deposits when guests book

Take a deposit when guests book online on any plan and collect the rest when they arrive. On a paid plan, add a cancellation policy guests see at booking, require a card to hold the slot, charge no-show fees or require full prepayment.

Lanes and rooms that can't double-book

Tie each service to the lane, room or station it uses, and a booking reserves it automatically so no one else can take it. Square lists resource booking on Square Premium.

Classes and clinics

Set the number of spots, assign an instructor and repeat the class on a schedule while guests reserve online. Classes need a paid plan and can't use the waitlist. Move a class to a new date or time and Square cancels and refunds everyone who'd booked it.

Class packs that apply themselves

Sell a five-class pack or a bundle of sessions in person or online, and it's applied automatically when the guest books. Selling packs takes a paid plan, and each one expires within a year of the sale.

Monthly memberships

Square Subscriptions bills members weekly to yearly on a paid plan, with sign-up by link, QR code or your website. It doesn't count visits or classes, and Square has no member check-in, so decide how staff will confirm who's current.

When the Wi-Fi drops mid-tournament

Square Register, Terminal, Handheld, Stand and Reader can keep taking cards offline and process them when you reconnect. Square recommends doing that within 24 hours. Declined offline payments are your responsibility, and gift cards and Tap to Pay don't work offline.

  4. On the floor Staff sell chalk and drinks on Square Handheld. Chalk dips below its low-stock threshold, and the after-close email flags it for reordering.
  5. After close Reports show day passes, classes, the party and retail side by side, and monthly members renew through Square Subscriptions.

What hardware does a recreation venue need?

Most venues run the front counter on Square Register, or Square Stand with an iPad, plus a receipt printer. Square Handheld takes orders and payments out on the floor, and Square Terminal is a battery-powered option that prints its own receipts. A phone with Square Reader or Tap to Pay covers a pop-up table at an outdoor event.

Can guests book lanes, rooms or sessions online?

Yes. Square Appointments gives you a booking site that syncs with your calendar, and you can take a deposit when someone books. Showing a cancellation policy, requiring a card or full prepayment and charging no-show fees need a paid plan. Tying a booking to a specific lane or room so it can't be double-booked needs Square Premium.

How do waivers work with Square?

Send your waiver through Square Contracts. Guests sign electronically and get a PDF copy, and you can send one contract to up to 20 people at once, which suits a group booking. Automatic sending at booking needs a paid plan and doesn't work for classes. Square doesn't give legal advice, so the wording is yours to choose.

Can I sell memberships and class packs?

Yes, with limits worth knowing. Class packs work as Square Appointments packages, which apply automatically when someone books and expire within one year. Memberships run through Square Subscriptions, billed weekly to yearly. Subscriptions doesn't track visits or classes, and Square doesn't have a check-in feature. Both need a paid plan.

How do I handle birthday parties and ticketed events?

For parties and group outings, send a Square invoice with a deposit to hold the date and the balance due later; automatic reminders follow up for you. For a tournament or a themed night, sell tickets through an event payment link made in the Dashboard or as Event items on your Square website.

What does Square cost for a recreation business?

Square decides its own pricing, and it can change. Square Free has no monthly subscription (you pay processing fees) and covers the POS, online booking with deposits and invoices. Classes, class packs, memberships, cancellation fees, automatic waiver sending and loyalty need Square Plus or Premium, and lane or room booking needs Premium. Square Payroll is a separate add-on.
