Signed before you start

Send an engagement letter or intake form through Square Contracts, on its own or attached to an estimate, invoice or appointment. Paid plans can require the signature before payment and send forms automatically when a client books. Square notes it doesn't give legal advice, so the terms are yours.

Monthly clients on autopay

A new client, first call to first invoice

One realistic day at a firm, with the setup above doing the work.

  1. A discovery call A prospect finds your booking site and picks a 30-minute video consultation for Thursday. A reminder reaches her the day before.
  2. Proposal with options After the call you send an estimate with two scopes: a strategy review or the review plus six months of support.
  3. Approved and signed She approves the larger scope with one click and signs the service agreement you attached to the estimate.
  4. Deposit, then monthly Her first invoice asks for a deposit, which she pays by bank transfer. The monthly support fee goes on a recurring invoice charged to her saved card.

Professional Services: common questions

Do I need any hardware to take payments?

You may not. Clients can pay invoices and payment links online. If they pay in person, Tap to Pay takes contactless cards on your iPhone or Android phone and Square Reader adds chip cards. Square Terminal suits a front desk and prints receipts.

Can I take a retainer through Square?

Square doesn't have a retainer feature. The closest tools are an invoice deposit, which collects an up-front amount before work starts, and recurring invoices, which bill a set amount on a schedule and can charge a saved card or bank account. If your profession has rules about client money paid in advance, follow them; Payaroo doesn't give legal or accounting advice.

Can clients approve a proposal and pay online?

Yes. Send an estimate and the client approves it online. On a paid plan it can offer several options, and the approved one converts to an invoice automatically; on Square Free you convert it yourself. Clients pay by card, Apple Pay, Google Pay, ACH bank transfer or Cash App Pay.

Can clients book a consultation by phone or video?

Yes. Square Appointments lets you offer a service in person or by phone or video, and clients book it from your online booking site. Confirmations and reminders go out automatically, and you can attach an intake form or agreement to the appointment.

Which Square plan does a consulting or accounting firm need?

Square sets its own pricing. Square Free has no monthly subscription, only processing fees on payments, and it covers invoices, estimates, deposits, recurring invoices, basic contracts and online booking. Square Plus and Premium add multi-option estimates with one-click approval, milestone schedules, signature-before-payment contracts and Square Marketing.
