What Square says about HIPAA

Square calls itself HIPAA compatible. Its business associate agreement applies to Square Appointments, Square Invoices and features Square marks as HIPAA-enabled. Each business decides whether HIPAA applies to it, and Square Marketing and Messages aren't named as covered.

Waivers signed before the appointment

Send waivers, consent forms and policies through Square Contracts to sign electronically, and on a paid plan have them go out when a client books. Square notes it doesn't give legal advice, so your team chooses the wording.

Estimates for treatment plans

Send an estimate for a series of treatments and turn it into an invoice once the client accepts. Automatic conversion and estimates with several options, like three sessions or six, need a paid plan.

Packages for a series

Sell prepaid bundles of treatments in person or online, and each is applied automatically when the client books a session. They need a paid Square plan, and each package expires within one year of purchase.

Med Spas: common questions

What hardware does a med spa need?

A med spa's front desk usually needs a two-screen Square Register or a compatible iPad on Square Stand, plus a receipt printer. Square Terminal adds a portable, battery-powered checkout with its own printer for treatment rooms. Square's med spa page also shows Square Handheld and Square Reader.

What does Square say about HIPAA?

Square describes its payments as HIPAA compatible and publishes a business associate agreement covering Square Appointments, Square Invoices and features it labels HIPAA-enabled. Square says each business decides whether HIPAA applies to it. Marketing and Messages aren't named as covered, so be careful what client information goes into campaigns and texts. Payaroo can't give compliance advice.

Can clients pay for treatments over time?

Afterpay lets eligible clients pay in installments while you receive the full amount up front. Square limits it to approved business categories with amount limits, and it isn't available offline, on recurring invoices or on invoice payment schedules. Prepaid packages are another option, and they expire within one year of purchase.

Can Square connect to my EHR or EMR?

Square's med spa page points to EHR and EMR integrations in the Square App Marketplace. Those apps are built and supported by third-party providers, so confirm the details, including how they handle client data, with each provider.

Can a med spa accept HSA or FSA cards?

Square lets licensed healthcare providers and pharmacies accept HSA and FSA cards. Whether that includes your med spa depends on your licensing, not on your Square plan.

What will a med spa pay for Square?

Pricing comes straight from Square. Booking and invoicing are part of Square Free, which has no monthly subscription; processing fees still apply. Packages, no-show fees, waivers sent automatically at booking and multi-option estimates need a paid plan, and marketing comes with Square Plus and Premium. Room and device booking needs Premium. Rates are listed on Square's pricing page, and we'll help you match a plan to your treatment menu.
