Day Spas: common questions

What hardware works at a spa front desk?

Most spas check guests out at a front desk, so Square Register, or Square Stand with a compatible iPad, plus a receipt printer is a common start. Square Terminal adds a battery-powered second checkout that can go to a treatment room or lounge. Square's spa page also lists Square Reader for a phone or tablet.

Can Square keep two therapists from booking the same room?

Yes, with Square Premium. Resource booking lets you set up rooms and equipment, mark which services need them and reserve them automatically when a service is booked, so a room can't be double-booked. Staff calendars handle each therapist's own hours and services.

Can I sell spa memberships?

Square Subscriptions can bill a membership weekly, monthly or yearly on a paid plan. It bills the plan but doesn't track usage, such as how many massages a member has had, and it isn't tied to booking. Prepaid packages do apply automatically at booking, and they expire within one year of purchase.

Can guests fill out intake forms before they arrive?

Yes. Square Contracts sends forms, policies and waivers for guests to sign electronically, on their own or attached to appointments, and paid plans can send them automatically when someone books. Square notes it doesn't give legal advice, so the wording is up to you.

What does running a spa on Square cost?

Square sets the prices for its plans and processing. Square Free comes without a monthly subscription (you still pay processing fees) and includes the booking site and calendars, and Square says gift cards need no separate subscription. Packages, memberships, no-show fees, automatic intake forms and loyalty need Square Plus or Premium, while room and equipment booking needs Premium.
