Square's position on HIPAA

Square's healthcare page calls Square HIPAA compatible. The business associate agreement Square publishes covers Square Appointments, Square Invoices and features Square labels HIPAA-enabled; Square Marketing and Messages aren't named. Your practice decides whether HIPAA applies to it.

Healthcare: common questions

What hardware does a medical or dental front desk need?

Many practices start with Square Terminal: it takes tap, chip and swipe, prints receipts and works with Square Appointments and Invoices. A busy desk might add Square Register for its customer-facing screen, and Square Reader with a phone covers home visits or a second office.

Is Square HIPAA compatible?

That's how Square's healthcare page describes it. Square publishes a business associate agreement, part of its terms for sellers who are covered entities or business associates, that covers Square Appointments, Square Invoices and features Square labels HIPAA-enabled. Square Marketing and Square Messages aren't named as covered. Square says each business decides whether HIPAA applies to it, and Payaroo can't advise on your compliance.

Can patients pay with HSA or FSA cards?

Square's help center limits HSA and FSA card acceptance to licensed healthcare providers and pharmacies. Eligibility comes down to your practice's licensing, so confirm it with Square before you add HSA and FSA to your front-desk signs.

Can Square connect to our EHR or EMR?

EHR and EMR integrations are listed in Square's App Marketplace, and Square's healthcare page mentions them. They come from third-party companies that build and support them, so ask each one what it syncs with Square and how it handles patient information.

How do we collect a balance after the visit?

Send it as a Square invoice by email or text. Patients can pay online by card, Apple Pay, Google Pay or bank transfer, and Square sends automatic reminders before, on and after the due date. With a patient's signed authorization, you can also charge a card on file.

What does Square cost for a practice?

Square sets its own pricing. Square Free has no monthly subscription (you pay processing fees) and includes the POS app, invoicing and online booking. Square Plus adds features such as no-show fees and staff scheduling, and Square Premium adds advanced reporting and room booking. Square Payroll is a separate add-on. Current rates are on Square's pricing page, and we'll help you match a plan to your providers and front desk.
