Giving links with a goal

Create a donation link for one-time or recurring gifts and set a fundraising goal with a deadline. Put it in the newsletter, a text to supporters or a QR code on every table.

The cash box counts too

Log bake-sale cash and mailed checks in Square next to card and online gifts, so the treasurer reconciles one set of numbers instead of three.

Dues on a schedule

Square Subscriptions bills membership levels weekly to yearly on a paid plan. It bills the plan only; it doesn't track event attendance or member benefits, so keep those records elsewhere.

When the festival Wi-Fi quits

Square Reader and other Square hardware can keep taking cards without internet and process them once you're back online. Square recommends reconnecting within 24 hours, and offline payments that are later declined are yours to cover. Tap to Pay doesn't work offline.

Numbers the board can read

Reports break sales down by item, category and team member and export for the treasurer, so the board sees what the gala, the appeal and dues each brought in.

The spring gala, start to finish

One realistic day at a organization, with the setup above doing the work.

  1. Weeks before Your development director makes an event link for tables and a donation link with a goal, then emails both to last year's guests.
  2. At the door Volunteers sell last-minute tickets on Square Reader paired with a tablet, each signed in with their own passcode.
  3. The appeal During the program, the donation link's QR code goes up on the screen and gifts come in from phones around the room.
  4. Cash and checks At the end of the night, the treasurer records the cash and checks from the pledge envelopes in Square next to the card gifts.
  5. Monday morning Reports show what tickets and gifts brought in, and every new supporter has a profile ready for a thank-you email.

What do we need to take donations at an event?

Most organizations start with Square Reader paired with a phone or tablet running the free Square POS app. Square Terminal works on its own and prints receipts, and Tap to Pay takes contactless payments on an iPhone or Android phone with no extra hardware. Tap to Pay needs an internet connection, so bring a Reader if the venue's signal is patchy.

Can supporters give monthly or toward a goal?

Yes. A donation payment link can be one-time or recurring, and it can show a fundraising goal with a deadline. Share it by email, text, social media or a printed QR code, or add a donation item to your Square website.

How do we collect membership dues?

Two ways. Square Invoices sends dues invoices, including recurring ones that charge a saved card or verified bank account on schedule, and members can pay by card or bank transfer. On a paid plan, Square Subscriptions bills membership levels weekly to yearly; it bills the plan but doesn't track attendance or benefits.

Can volunteers use their own phones?

Yes. With the free Square POS app, a volunteer can pair Square Reader or use Tap to Pay on an iPhone XS or newer or an NFC-capable Android phone running Android 9 or later. Give each person their own passcode and a permission set that controls what they can do on the POS.

Can we record cash and checks?

Yes. Record cash and check payments in Square alongside card sales, so the offering, the bake-sale table and gifts that arrive by mail show up in the same reports as card and online gifts.

What does Square cost for a nonprofit?

Square sets its prices and fees itself, and its pricing page has the current details. There's no monthly subscription on Square Free, just processing fees on each payment. Square Plus and Premium add email and text campaigns and Square Subscriptions for membership plans, and Square Payroll is a separate add-on if you have paid staff. We'll help you figure out whether Free covers your events and appeals.
